Because of personal reasons and illness our volunteer organising committee has been decimated since we started with planning last October and there are now just 3 regular members of the Committee who have taken on the organisation of the Carnival and they really need some help. 

Joan is the Chair of the Committee and is trying to look after publicity, health and safety, stalls management, website and facebook page, and act as Treasurer,

Graham is the Deputy Chair 

Gary is the Parade Manager

The roles that are available are:

Treasurer

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street, Wellington.

Keep a Basic Income and Expenditure Account

Maintain a budget.

Provide a simple report to each meeting.

Be central point for receipt and paying out of monies on
Carnival day 20th June 2015.

 Minute Secretary

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Record simple Minutes of decisions and actions decided by
the Committee.

Distribute typed Minutes of meetings by email to Committee
members within a few days of the meeting.

Keep a Committee members Contacts spreadsheet up to date and
distribute to members as required.

Stalls Manager

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Source contacts, and encourage participation by Charities
and Commercial stall-holders. 

Maintain record of bookings made and liaise with Treasurer
to ensure fees are paid.

Ensure stallholders provide appropriate paperwork,
certification, etc.  For instance risk
assessments, food hygiene certificates, trading licences, etc.

Liaise with Safety Manager to help draw up Event Safety
Plan.

Provide a simple report of progress for each meeting

Parade Co-ordinator

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Liaise with the Parade Manager (who is in post and will
organise the Parade on the Day).

Source contacts and encourage participation by Charities and
local businesses, groups and individuals in the Carnival Parade.

Liaise with Safety and Parade Managers to help draw up Event
Safety Plan

Provide a simple report of progress for each meeting.

Safety Manager

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Draw up an Event Safety Plan containing full risk
Assessments for the Parade (liaising with Parade Co-ordinator and Manager), the
stalls (liaising with Stalls Manager) and the events (liaising with Events Manager).

Maintain Safety Policies, including Safeguarding Policy,
Health and Safety Policy, Evacuation policy.

Undertake Fire Risk Assessments.

Draw up and deliver briefing note for marshalls, stewards
and volunteers.

Ensure signage available for the park for Carnival Day (No
smoking, Child Protection, First Aid point, Evacuation muster points, etc)

On Carnival day, manage :

placement of signage

·        
regular fire risk inspections

·        
regular toilet inspections

·        
regulation of noise

·        
enactment of Event Safety Plan.

Publicity Manager

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Provide regular publicity articles for newspapers, local
magazines and radio, etc.

Co-ordinate production of programme/flyers

Co-ordinate sales of programmes

On Carnival Day, liaise with photographer to ensure good
quality photographs available for future publicity.

Fundraising Manager

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Source and apply for appropriate funding

Source and secure prizes for raffles, etc.

Liaise with Treasurer to record promised funds.

Provide simple report for each meeting.

Carnival Queen and Attendant Manager

Attend regular meetings of the volunteer committee –
currently once per fortnight on a Wednesday evening at the Plough, King Street,
Wellington.

Work with Publicity Manager to attract applicants for
attendants

Determine method of selecting attendants from applicants and
make selection.

Ensure Queen and Attendants provided with appropriate attire
(liaise with Treasurer for budget)

On Carnival day,

·        
Chaparone Queen and Attendants while undergoing
make-overs

·        
Escort Queen and Attendants to start of Parade

·        
Liaise with Publicity Manager and Photographer
to ensure good photographs

·        
Ensure Queen and Attendants have drinks and
lunch

Plus helpers shortly before and on the day to sell Programmes and Raffle Tickets.
